Terms & Conditions

How bookings with us work — from payment and deposits to cancellations and changes.

Last updated: 28 October 2026

At a glance

  • You pay us directly, and we arrange and pay the hotel, villa, yacht operator or other supplier.
  • There’s no single deposit or payment deadline. We confirm the payment schedule for your booking in writing before you commit.
  • Cancellation and change conditions vary from booking to booking, and are confirmed to you in writing before you book.
  • Your booking is confirmed when we confirm it to you in writing — not when you enquire or receive a payment link.

How we work

The Diamond Lifestyle Travel Co. arranges luxury travel and lifestyle experiences, including hotel stays, private villas and holiday homes, yacht and boat experiences, flights, private transfers, restaurant reservations and bespoke travel arrangements.

For bookings we arrange and invoice, you pay us rather than paying the hotel, villa, yacht operator or other supplier yourself. Your payment is received into our business bank account, and we then make the arrangements with, and payments to, the relevant suppliers — so you have one point of contact throughout.

Every booking is different, so the payment schedule, cancellation conditions and other terms for your arrangements are confirmed to you individually, in writing, before you go ahead.

Our role

When we book a single service for you on its own — such as a hotel, villa, yacht day or transfer — we act as agent for the supplier. Your contract for that service is with the supplier, and we are responsible for arranging it with reasonable care and skill.

When we combine two or more different types of travel service for the same trip — for example accommodation with flights or private transfers — that is a package under the Package Travel and Linked Travel Arrangements Regulations 2018, and we act as the organiser. As organiser, we are responsible for the proper performance of every travel service in your package, and we’ll give you the required package information before you book.

We will always confirm in writing which applies to your booking.

How booking works

  1. Step 01

    Discuss your requirements

Tell us where you'd like to go and what you have in mind — accommodation, transfers, a yacht day or a particular experience.

  2. Step 02

    Receive your tailored options

We source suitable options and explain the pricing, availability, payment schedule and booking conditions that apply to each.

  3. Step 03

Confirm your booking and make payment

Once you've chosen, we confirm the booking arrangements and send you a payment link or payment instructions. You pay us using the method available, by the deadline given.

  4. Step 04

    We coordinate your arrangements

Once the booking requirements are met and the supplier has confirmed, we coordinate everything with them and send you your written confirmation and any further details.

Payment methods

When you’re ready to go ahead, we’ll send you a payment link or payment instructions. Depending on the link and your booking, you may be able to pay by debit card, credit card or bank transfer. Not every method is available for every booking, so please pay using the method set out in your booking arrangements.

Once your payment has been received, we coordinate the onward payment and arrangements with the relevant supplier.

Please only pay using the link or instructions we’ve sent you. If you ever receive payment details that look different from those we’ve given you before, call us on 07872 876035 to check before paying.

Deposits and payment schedules

There is no single deposit percentage or payment deadline that applies to every booking. Payment terms depend on the type of booking, the destination, the supplier’s requirements, availability, the cancellation conditions and what we agree with you. Before you confirm, we’ll tell you clearly:

  • whether a deposit is needed, and how much
  • whether any balance is outstanding, and when it’s due
  • how each payment should be made

The examples below show the kinds of arrangements that may apply. They are illustrations, not fixed terms — your own payment schedule is always confirmed for your specific booking.

  • Hotels

Some hotels offer flexible or free-cancellation rates that let you secure a reservation without paying upfront, with the balance due by a set date before check-in — for example, a couple of weeks before arrival. Other rates need a deposit or full payment earlier, and some are non-refundable. It depends on the hotel, the rate and its reservation conditions.

  • Villas

Deposits, balance deadlines and cancellation conditions vary with the property, your dates and the supplier. We'll confirm the payment schedule for your villa before you go ahead.

  • Yachts and boats

Some experiences — including certain boat days in Ibiza — may require 50% upfront, with the balance payable to us on arrival. This is one example rather than a rule; the schedule for your charter is confirmed when you book.

  • Flights

Flights may require a deposit or payment upfront, depending on the booking and the airline's or supplier's requirements. We'll explain the terms that apply before you confirm.

  • Private transfers

Transfers may require full payment upfront, depending on the arrangements and the transfer provider's requirements.

  • Restaurants and experiences

Restaurant reservations, activities, excursions and other bespoke arrangements can have their own deposits, payment requirements and deadlines. We'll tell you what applies as part of your booking.

Prices and booking confirmation

  • Prices and availability can change until your booking has been secured in line with the arrangements we’ve agreed with you. Once your booking is confirmed, the price won’t change unless you ask us to change or upgrade it.
  • We’ll confirm the price and payment schedule to you in writing before you commit, including any deposit, outstanding balance and payment deadline.
  • Prices may be quoted in different currencies, depending on the destination and the service. The currency for each part of your booking is shown on your quote.
  • Sending an enquiry, or receiving a quote or payment link, does not on its own confirm a booking. A booking is subject to confirmation from the supplier and to the booking requirements being met — such as payment of any deposit. We’ll let you know once it’s confirmed.
  • Please check your booking details, payment schedule and cancellation and amendment conditions carefully before going ahead, and tell us straight away if anything looks wrong.

If you think you may have difficulty meeting a payment deadline, please contact us as early as possible. If a payment isn’t received by its deadline, the supplier may release the booking, and any cancellation charges set out in your booking terms may apply.

Cancellations

There isn’t one cancellation policy that covers every booking. Your cancellation rights, and any deadlines, charges or refunds, depend on the particular booking and supplier, the rate or conditions that apply, and the terms agreed with you.

For example, a hotel booked on a qualifying flexible rate may be cancelled free of charge up to a specified date, while a non-refundable rate, a villa, a yacht experience, a flight or a private transfer may have quite different conditions.

  • The cancellation conditions for your booking are set out in writing before your booking is confirmed.
  • Some bookings are refundable, or can be cancelled free of charge within a set period.
  • Others may be partly refundable, non-refundable or subject to cancellation charges.
  • Deposits and other payments may be subject to the supplier’s own terms.
  • Where a refund is due, we pay it back to you directly, in line with your booking terms and your legal rights.

If you need to cancel, please contact us as soon as possible on thediamondlifestyletravelco@gmail.com or 07872 876035. Timing can make a real difference to what may be refundable.

The 14-day cooling-off period that applies to many online purchases does not apply to accommodation, transport, car hire, catering or leisure services booked for specific dates. Your cancellation rights are those set out in your booking terms and below.

Cancelling a package

You can cancel a package at any time before it starts. Whether you’re refunded depends on when you cancel. Most packages are booked on refundable rates with a free-cancellation date, which varies with what you’ve booked and is made clear to you, in writing, before you book.

  • Cancel before the free-cancellation date and there’s no cancellation charge for anything booked on a refundable rate.
  • Cancel after it and the payments you’ve made are generally not refundable.
  • Anything booked on a non-refundable rate isn’t refundable at any time.

For example, if you’re travelling on 14 June and free cancellation ends on 31 May, the remaining balance is due before 31 May. Cancelling after 31 May means your payments won’t be refunded.

We will never charge you more than the costs we can’t recover.

You can cancel a package free of charge, with a full refund, if unavoidable and extraordinary circumstances at or near your destination significantly affect your package or your travel there — for example a natural disaster, a serious security risk or a major outbreak of illness.

If we cancel

If we have to cancel your booking, we’ll refund everything you’ve paid us in full — for a package, within 14 days. If we cancel a package for a reason other than unavoidable and extraordinary circumstances, you may also be entitled to compensation.

If a supplier cancels

Occasionally a supplier may need to cancel or significantly change a booking. If that happens, we’ll tell you as soon as we know, offer suitable alternatives where they’re available, and refund any money due for arrangements that won’t be provided, in line with your legal rights.

Changes and amendments

Plans change. If you’d like to amend a booking — new travel dates, a different number of guests, another room, a new transfer time, or a change to a yacht day or other experience — please get in touch as soon as you can.

  • Changes depend on availability and the supplier’s conditions.
  • A change may lead to additional charges, a revised price or cancellation charges.
  • Some bookings can’t be changed.
  • We’ll always explain any costs and conditions, and get your agreement, before making a change.

We’ll always do what we can to help, but changes remain subject to each supplier’s own restrictions.

Transferring a package

You can transfer your package to someone else who meets all its conditions, by telling us in writing at least 7 days before it starts. You and the new traveller are jointly responsible for any balance still due and for any reasonable extra costs of the transfer, such as name-change fees charged by suppliers, which we’ll tell you about first.

Passports, visas and insurance

  • Everyone travelling is responsible for holding a valid passport, and any visas, travel authorisations and health documents needed for their destination. Please check the latest advice at gov.uk/foreign-travel-advice.
  • We strongly recommend that you take out suitable travel insurance as soon as you book, covering cancellation, medical costs and the activities you plan to do.
  • Please give us accurate names and details for everyone travelling. Names must match passports, and some suppliers charge to correct them.

Our responsibility to you

Single services booked through us as agent. We arrange your booking with reasonable care and skill. The supplier provides its service under its own conditions, and we’ll do what we can to help if anything goes wrong with it.

Packages we organise. We are responsible for making sure every travel service in your package is provided as agreed, whether we or our suppliers provide it. If something isn’t, we’ll put it right unless that is impossible or would cost a disproportionate amount, and you may be entitled to a price reduction or compensation. If you’re in difficulty during your trip, we’ll give you appropriate help. Where international conventions limit how much an airline or other carrier must pay, our liability is limited in the same way.

Neither we nor our suppliers are responsible for delays or failures caused by events beyond our reasonable control, such as extreme weather, natural disasters, strikes, airport or port closures, war, terrorism or public health emergencies. This doesn’t affect any refund you’re entitled to by law.

Nothing in these terms limits or excludes our liability for death or personal injury caused by our negligence, for fraud, or for anything else that cannot be limited or excluded by law.

Complaints

If something isn’t right during your trip, please tell the supplier and us straight away, so it can be put right while you’re there. If you’re still unhappy, contact us on thediamondlifestyletravelco@gmail.com or 07872 876035, giving your booking details and what went wrong. We’ll acknowledge your complaint and look into it fully.

If we can’t resolve it between us, you can get free, impartial advice from the Citizens Advice consumer service at citizensadvice.org.uk.
