Who we are
This website is run by Alfie Anil Soni, trading as The Diamond Lifestyle Travel Co. (“we”, “us”). We are the controller of the personal information described in this policy.
- Address: 23 Conference Avenue, Portishead, Bristol BS20 7LF
- ICO registration number: [to be confirmed]
- Email: thediamondlifestyletravelco@gmail.com
The information we collect
When you send an enquiry through our contact form: your name, email address, telephone number (optional), destination, travel dates, the service you’re interested in, how you’d like us to contact you, and your message.
When you contact us directly by email, telephone, WhatsApp or social media: the details you choose to share with us.
When we arrange travel for you: the details needed to make the booking, which may include the names of everyone travelling, dates of birth, passport details, arrival and departure details, preferences, and any dietary, medical or accessibility needs you tell us about so that suppliers can look after you. We only ask for what a particular booking needs.
About other people in your party: if you give us details of other travellers, including children, please make sure they (or their parent or guardian) are happy for you to do so, and share this policy with them.
When you browse this website: our hosting provider keeps standard technical logs (such as IP address and browser type) to run and secure the site. If you accept analytics cookies, we also collect information about how you use the site — see Cookies.
How we use it, and why we're allowed to
- To reply to your enquiry and plan your trip — because you’ve asked us to, as a step towards a contract with you.
- To make and manage your bookings — to perform our contract with you. Health or accessibility information is used only to arrange your trip, with your explicit consent.
- To keep business and tax records — to meet our legal obligations.
- To run and secure the website, and to protect our business — for example keeping technical logs, preventing fraud and keeping records in case of a dispute. This is in our legitimate interests, and we balance it against your rights.
- To understand how the website is used — only with your consent, given through the cookie banner.
- To send you news and offers — only if you’ve asked us to, with your consent.
We do not sell your information, and we will only send you marketing if you have asked us to. You can stop it at any time.
Some details, such as the names and passport details of everyone travelling, are needed to make a booking. If you’d rather not give them, we may not be able to arrange that part of your trip.
Who we share it with
- Travel suppliers — hotels, villa owners, yacht and transfer operators, restaurants and venues — but only the details they need to provide the part of your trip you’ve booked with them. Many are outside the UK; we send them your details because it’s necessary to provide the trip you’ve asked us to arrange, and once received they handle it under the laws of their own country.
- Service providers who help us run the business: Vercel (website hosting), Resend (delivering contact-form enquiries to our inbox), Google (analytics, with your consent), our payment provider and bank (to take and make payments), and our accountant and other professional advisers.
- Email and messaging services: our email is provided by Google (Gmail), and if you contact us on WhatsApp, Instagram or TikTok, your messages pass through those services. Each handles your information under its own privacy policy.
- Authorities, where the law requires it.
Some of these providers store data outside the UK, including in the United States. Where they do, the transfer is protected by safeguards recognised under UK law, such as the UK Extension to the EU–US Data Privacy Framework or the UK International Data Transfer Addendum.
How long we keep it
- Enquiries that don’t lead to a booking: up to 12 months.
- Booking and payment records: 6 years after the end of the financial year they relate to, to meet our tax and accounting obligations and in case of legal claims.
- Passport, health and accessibility details: deleted once your trip is complete, unless you ask us to keep them for future bookings.
Your rights
You can ask us to give you a copy of your information, correct it, delete it, restrict or object to how we use it, or transfer it to someone else. Where we rely on your consent, you can withdraw it at any time. Email us at thediamondlifestyletravelco@gmail.com and we’ll respond within one month.
If you’re unhappy with how we’ve handled your information, please tell us first by emailing the address above. We’ll acknowledge your complaint within 30 days and let you know the outcome. You also have the right to complain to the Information Commissioner’s Office (ICO) at ico.org.uk or on 0303 123 1113.
Keeping it safe
The website is served over an encrypted (HTTPS) connection, and access to the accounts where we keep client information is limited to our team and protected by strong passwords and two-factor authentication where available.
Changes to this policy
We’ll update this page if the way we handle personal information changes. The date at the top shows when it was last revised.
